What AI Actually Does

No history lesson. Just what you need to know before you start typing.

AI chat tools like Claude, ChatGPT, and Gemini are well-read assistants that turn your instructions into text. That is the whole thing. You type what you want. It writes, explains, summarizes, or brainstorms back.

Think of it like a new assistant who started this morning. They read fast, write well, and never get tired. But they only know what you tell them in this conversation. They do not know your business, your customers, or what you meant to say if you leave it out.

Here is what trips people up. AI sounds confident even when it is wrong. It will state a fact, a name, or a number in the same steady tone whether it is right or not. That is not a flaw you need to fix. It is just how the tool works. Your job is to give it good instructions and check its work. That is it.

The 4-Part Request Formula

The reason most people get a boring answer from AI is not the tool. It is the request.

Every request that gets a genuinely useful answer has 4 parts. Miss two or three of them and you get something generic. Include all 4 and you get something useful on the first try, most of the time.

Role. Who should the AI act as, or who are you. A role gives it a lens to answer through.
Task. The specific thing you want done. Not "help me with this email," but "write a follow-up email."
Context. The background it needs so it stops guessing. Who this is for, why it matters, what already happened.
Format. How you want the answer shaped. Length, tone, structure.

Weak Prompt

Write me a birthday message for my mom.

Strong Prompt

Role: You are a thoughtful writer. Task: Write a birthday message for my mom. Context: She is turning 60, loves gardening, and we tease each other more than we get sentimental. Format: 3 sentences, warm but not corny, no lines like "over the hill."

The weak version gets you a greeting card. Generic, safe, forgettable. The strong version gets you something that sounds like it is actually about your mom, because you told the AI what makes her your mom.

Adding one sentence of context fixes most weak answers. If you only remember one part of this formula, remember Context.

Take a request you would normally type in one short line. Rewrite it using Role, Task, Context, Format. Send both versions and compare.

How to use this section: copy the whole prompt, fill in everything inside [BRACKETS], and send it. Then keep talking. The best results come from a back-and-forth, not a single message.

Best for: compress any article, transcript, or document into the key points in seconds.

The Prompt
Summarize the text below in:
1. One sentence (the core idea)
2. Three bullet points (the main supporting points)
3. One specific action a reader should take based on it

Skip generic takeaways. Be specific.

The Brainstormer

Best for: generate 10 ideas around any topic, fast.

The Prompt
Generate 10 distinct ideas for [TOPIC OR GOAL].

Constraints:
- 10 genuinely different angles, not 10 variations on the same idea
- Mix conventional, contrarian, and weird
- One sentence per idea
- After the list, mark which 3 you think are strongest and why

- Constraints: [BUDGET, TIME, OR OTHER LIMITS]

Asking for the AI's top 3 picks at the end is the real trick. It forces the model to do judgment work instead of just listing ideas.

The Decision-Maker

Best for: a structured comparison when you are stuck between two options.

The Prompt
I'm deciding between [OPTION A] and [OPTION B].

Context:
- The decision is for: [WHAT IT'S FOR]
- What matters most to me: [TOP 2-3 CRITERIA]
- Constraints: [BUDGET, TIME, RISK TOLERANCE]

Give me:
1. A side-by-side comparison on each criterion (be specific, not "depends")
2. Your recommendation with a clear reason
3. The one thing I haven't considered that I should

Don't hedge. Pick one.

The line "don't hedge, pick one" is doing the real work here. Without it you get a wishy-washy answer. With it you get a real recommendation you can push back on.

The Email Drafter

Best for: turn a rough thought into a polished email in 30 seconds.

The Prompt
Draft a [LENGTH] email to [RECIPIENT, RELATIONSHIP].

What I want to say (rough):
[YOUR ROUGH THOUGHTS]

Tone: [WARM/DIRECT/PROFESSIONAL/CASUAL]

Constraints:
- Lead with the point in the first or second sentence, do not bury it
- Plain language. No "I just wanted to" or "I hope this email finds you well."
- End with one clear next step, if there is one

Output: email body only. No subject line.

Say the length out loud. "4 sentences" or "120 words." Otherwise you will get a longer draft than you wanted.

The Explain-It-To-Me Prompt

Best for: understand any concept, broken down for your level.

The Prompt
Explain [CONCEPT] to me as if I'm [YOUR ROLE / LEVEL, e.g. "a small business owner with no technical background"].

Structure:
1. The one-sentence definition
2. A real-world analogy that doesn't require background knowledge
3. Why it matters (specifically to my role)
4. One common misconception about it
5. The simplest possible way to start using or applying it

Avoid: jargon, hand-waving, "it's complex," and exhaustive history.

The "specifically to my role" line changes the answer completely. Without it you get a textbook definition. With it you get an explanation pointed straight at you.

The Outline Builder

Best for: a structured outline for any document, presentation, or piece of content.

The Prompt
Build an outline for [WHAT YOU'RE WRITING, e.g. "a 1,000-word blog post on small business cybersecurity"].

Audience: [WHO IT'S FOR]
Goal: [WHAT YOU WANT THE READER TO DO OR THINK BY THE END]

Structure:
- Headline (with 3 alternative options)
- Intro hook (1-2 sentences)
- 4-6 main sections with H2-level titles
- Bullet points under each section listing what should be covered (3-5 per section)
- Conclusion / call to action

After the outline, flag the 2 strongest sections and the 1 weakest.

The Plan Generator

Best for: turn a vague goal into a concrete week-by-week plan.

The Prompt

- Constraints: [TIME PER WEEK, BUDGET, OTHER OBLIGATIONS]

Structure each week as:
- The one focus for the week (the main thing)
- 2-3 specific tasks, not "research X" but actual tasks like "interview 3 customers"
- One checkpoint or measurable outcome

End with: the most likely reason I'll fail to follow through, and how to mitigate it.

The Counterargument Generator

Best for: pressure-test your own thinking before you commit to it.

Steelman the opposite position. Build the strongest possible case against what I just said. Include:
- The single strongest counterargument
- A specific scenario where I'm wrong
- Evidence or examples that contradict me
- What an expert who disagrees would say

Don't be polite or hedge. Be sharp.

The Meeting Summarizer

Best for: turn a meeting transcript into action items in 10 seconds.

The Prompt
Below is a meeting transcript. Extract:

1. The 3-5 key decisions made
2. All action items (with owner and deadline if mentioned)
3. The 2-3 open questions that weren't resolved
4. A 2-sentence summary I can paste into Slack to update people who weren't there

Be specific. No "discussed X," what was actually decided?

The Question-Asker

Best for: when you don't know enough about a topic to ask the right question.

The Prompt

Before you give me any advice, ask me 5-8 clarifying questions you'd need answered to give me a genuinely useful response.

Make the questions specific and answerable. Don't ask "what's your budget?" Ask "what's the maximum monthly cost you're willing to commit to?"

After I answer, then give me the advice.

This is the prompt I use most, especially when starting on something new. It turns the AI into an interviewer, which surfaces things you did not know you did not know.

Five small tasks you can hand to AI today. Each one takes less time than reading about it would.

Quick Win: Write an Email

You have a message to send and no time to make it sound right. Let AI take the first pass.

Draft a short email to [WHO] about [WHAT]. Keep it under 100 words, direct, no opener like "I hope this finds you well."

Quick Win: Summarize a Document

A long PDF, contract, or report you are supposed to have read. Paste it in instead.

Summarize this in 5 bullet points and one plain-language paragraph. Flag anything that looks like a deadline or a cost. [PASTE DOCUMENT]

Quick Win: Plan a Week of Meals or Content

One decision instead of seven small ones.

Plan 5 [dinners for a family of 4 / social posts for my business] for this week. Keep it simple. No ingredients or ideas that need a full production.

A review came in, good or bad, and you are staring at the reply box.

Here is a customer review: [PASTE REVIEW]. Write a reply that is warm, specific to what they said, under 60 words, and does not sound like a template.

Quick Win: Brainstorm a Decision

You are stuck between two options and talking yourself in circles.

I am deciding between [OPTION A] and [OPTION B] for [SITUATION]. Give me the strongest case for each, then tell me which you would pick and why.

3 Mistakes Beginners Make

Watch for these. Every one is fixable in the moment.

Common Mistake: One-Shot Expectations

Expecting the first answer to be the final answer. When it is not quite right, people give up instead of asking again.

The fix. Treat it like a conversation, not a vending machine. Say "shorter," "more direct," or "try again but funnier." Two or three rounds usually gets you something genuinely good.

Common Mistake: Vague Asks

"Write me a bio" or "help with this" gives AI almost nothing to work with. The output will be generic because the request was generic.

The fix. Use the 4-part formula from Section 3. Role, Task, Context, Format. It takes 20 extra seconds and changes the answer completely.

Common Mistake: Trusting Without Checking

AI states wrong facts, numbers, and names in the same confident tone it uses for correct ones. Beginners copy and paste without checking.

The fix. Treat AI like a capable new hire on their first day. Fast and talented, but you still check the work before it goes out the door. Verify names, numbers, dates, and anything you would be embarrassed to get wrong.
