Tools I actually use
Every tool here gets used in real client work, or at least seriously tested. Honest reviews, real pricing, no "Top 47 AI Tools You MUST Try" SEO bait.
My daily-driver AI for actual work. Longer context, better reasoning on real problems, and far less "I cannot help with that" than the alternatives. The one I'd use if I could only pick one.
The household name. Excellent for everyday tasks, brainstorming, and the broadest tool ecosystem (image, voice, custom GPTs). I use it alongside Claude, different strengths.
Google's answer to ChatGPT, and free tier is generous. Tight integration with Workspace (Gmail, Docs, Sheets) makes it the obvious pick if you live in Google's ecosystem.
Google's underrated research AI. Drop in your PDFs, transcripts, and notes, it grounds every answer in your source material. The "Audio Overview" feature turns your docs into a podcast.
The all-in-one platform powering every SimplySync client. CRM, automations, websites, email, SMS, voice AI, communities, payments, all in one. If you're an agency or run a service business, this is the foundation.
Visual workflow builder that connects everything. If you can draw a flowchart, you can build automations in Make. Core of the SimplySync tech stack alongside GHL.
More technical cousin to Make.com. Open-source, self-hostable, and built for serious automation work. The right pick if you outgrow Make or want full data ownership.
The voice AI behind every Trinity Naturals voice agent I've built. Cloning is uncanny. Real-time conversational voice for AI agents is finally good. This is the category-leader.
Drops a long-form YouTube video in, gets viral-ready shorts out. The AI scores each clip for "virality" and auto-reframes for vertical. The fastest way to turn one video into ten.
Edit video by editing the transcript. Delete a word, the video cuts. AI removes filler words ("um", "uh") in one click. The fastest video editor I've used, not even close.
Where I run my entire business, clients, projects, content pipeline, knowledge base. Notion AI is the most useful in-context AI assistant of any productivity tool right now.
If Notion feels too freeform, ClickUp is the structured alternative. Best for teams that need real project management with Gantts, sprints, and dependencies, plus solid AI features built in.
Creator-focused email platform. Best free tier in the email space, 10,000 subscribers free. Sequences, broadcasts, landing pages, and a creator network for referrals.
The newsletter-first alternative to Kit. Built specifically for writers and operators running newsletters. Native ad network, referral programs, and the cleanest writing experience around.
If you can't afford a designer (or can't be bothered), Canva is the answer. Magic Studio AI tools generate, expand, and edit images. Brand kits keep everything on-brand without trying.
For when GHL's site builder isn't enough and Webflow feels like overkill. Framer's AI can spin up a real, designed website from a prompt in under a minute. Best-in-class for landing pages.
Google + ChatGPT in one. Real-time web search with cited sources. The tool I open when I want a current answer, not a 6-month-old training-data answer.
Drop-in AI chat for any website. Lyro (Tidio's AI agent) handles 70% of customer questions automatically. The "I need a chatbot but don't want to build one" answer for most small businesses.
The form tool everyone copies. Conversational design + AI logic jumps mean higher completion rates than Google Forms by a mile. The right pick for lead qualification, onboarding, and surveys that get actually filled out.
SEO content optimization with real-time scoring. Tells you exactly what to add to rank, keywords, headings, length, structure. AI writer is built in. Steeper price but pays back fast if SEO matters to you.
Automate Instagram DMs, comments, and stories. If you run any Instagram-driven business, this is the tool that turns "comment SAVE for the link" into actual leads in your inbox.
Catch typos, tone issues, and clarity problems everywhere you write, email, Notion, browsers, native apps. Grammarly's AI now also rewrites and shortens, not just corrects.
Real web development without code. CSS-grade control over layout, built-in CMS, and clean output. The right pick when you need a designer-grade site you (or a client) will edit long-term.
Cheap, fast hosting that doesn't suck. AI website builder included on most plans. For WordPress, n8n self-hosting, or any side project you don't want to overpay AWS for.
Type a script, get a talking-head video with an AI avatar (or your own clone). Best for training videos, multilingual marketing, and any time you need video but don't have time to record.
The mobile editor that took over TikTok. Free, fast, and packed with AI features, auto-captions, background removal, voice cloning. If you make short-form video, this is mandatory.
Studio-quality remote recording for podcasts and interviews. Records locally on each guest's machine (no Zoom-quality audio). Magic Editor + Magic Clips turn raw recordings into publishable content automatically.
02 / Dylan's actual stack
This is the stack behind SimplySync, Your Handy AI Guide, and every client build. If a tool isn't here, I'm not using it daily.
